Scope of this policy

This Privacy Policy applies to the Aqaris marketing website at aqaris.com and the information collected when you visit pages, submit contact forms, or request a demo. It covers visitors, prospects, and demo-request contacts.

If you are a customer using the Aqaris platform (the SaaS product), data flows within the platform — including tenant records, lease data, and financial transactions — are governed by your subscription agreement and a separate Data Processing Addendum, not solely by this page. Payment processing within the platform is handled by PCI-DSS certified third-party gateways (Telr, PayTabs, Noqoodi, Stripe); Aqaris does not store raw card numbers on the marketing website or the platform.

Aqaris ("Aqaris", "we", "us", or "our") is a property management software company based in Dubai, United Arab Emirates. We operate the Aqaris platform and this website at aqaris.com.

2. What data we collect

We collect information you provide directly to us, including:

  • Account data: name, work email, company name, role, and phone number when you register or request a demo.
  • Usage data: how you interact with our platform, features used, pages visited, and session duration.
  • Property data: lease records, tenant details, financial transactions, and other property management information you enter into the platform.
  • Communication data: messages you send us via contact forms, email, or WhatsApp.
  • Technical data: IP address, browser type, device identifiers, and cookies.

3. How we use your data

We use the information we collect to:

  • Provide, maintain, and improve the Aqaris platform and services.
  • Process demo requests and onboard new customers.
  • Send transactional emails (receipts, renewal reminders, support replies).
  • Send product updates and marketing communications where you have consented or we have a legitimate interest.
  • Comply with legal obligations, including UAE VAT, RERA, Mollak, and Ejari regulatory requirements.
  • Detect and prevent fraud, abuse, and security incidents.

4. Data storage and residency

Aqaris is hosted on Amazon Web Services (AWS) in the UAE region (me-central-1). All customer property and tenancy data is stored within the UAE by default. Backup and disaster-recovery infrastructure also resides in the same geographic region.

Certain ancillary services (analytics, support tooling, email delivery) may process limited metadata outside the UAE. Where this occurs, we apply standard contractual clauses or equivalent data-transfer safeguards.

5. Data retention

We retain your account data for as long as your account is active. After account termination, we retain data for 60 days to support data export, after which it is deleted. Financial records are retained for the period required by UAE tax law (currently 5 years from the end of the relevant tax period).

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate personal data.
  • Request deletion of your personal data (subject to legal retention requirements).
  • Object to or restrict processing of your data.
  • Receive your data in a portable format.
  • Withdraw consent where processing is based on consent.

We use strictly necessary cookies to keep you logged in and maintain session state. We use analytics cookies (with your consent) to understand how visitors use our website. You can control cookie preferences through your browser settings.

8. Third-party processors

We work with third-party processors to operate our services, including cloud infrastructure (AWS), customer support tooling, and email delivery services. All processors are bound by data processing agreements and are required to handle your data in accordance with applicable law.

This marketing website uses Formspree to process contact and demo request form submissions. Payment gateways (Telr, PayTabs, Noqoodi, Stripe) are processors used within the Aqaris SaaS platform, not on this marketing website.

9. Children's privacy

Aqaris is a business-to-business platform and is not directed to children under 16. We do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time. We will notify active customers of material changes by email or in-platform notification. The "Last updated" date at the top of this page reflects the most recent revision.

Aqaris is primarily a UAE and GCC-market platform. The primary legal framework governing personal data we collect is the UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection (UAE PDPL).

If you are located in the European Union, United Kingdom, or another jurisdiction where the General Data Protection Regulation (GDPR) or equivalent law applies, the following additionally applies to you:

  • Lawful basis for processing: We process your data on the basis of (a) your consent where you have provided it (e.g. marketing communications), (b) performance of a contract or pre-contractual steps (e.g. demo requests), or (c) our legitimate interests (e.g. fraud prevention, service improvement), balanced against your rights.
  • Your data-subject rights: In addition to the rights listed in section 6 above, EU/UK users may have the right to lodge a complaint with your local supervisory authority (e.g. the ICO in the UK, or the relevant EU data protection authority in your member state).
  • Transfers outside your jurisdiction: Where personal data is transferred outside the EU/UK, we rely on standard contractual clauses (SCCs) or equivalent safeguards as described in section 4.
